OverviewContribute in the delivery of general services to sustain the real estate forthe client. Uphold and operate the property together with financialadministration, organization, supply procurement, supervision. This is aPT role ( 24 hours weekly ) it can be a virtual role as wellResponsibilitiesAdministrative SupportAssist in managing vendor agreements, sourcing team supportCreate and oversee purchase orders/invoices for local purchases.Point of contact to support onsite technical issues and equipment enhancementOrganize with security JLL staff needsAttend program training seminars for employee assistanceAid with JLL programs / products, technology updates, new hirerequirements and requested tasksAssist Facility Management Team with tactical planning for the team s goalsand objectivesProvide facility specific assistance to the project management team as neededor requestedManage and maintain small facility management tasks as assignedCoordinate special events in support of client or JLLProvide support for meetings and conference rooms, and cleaning as neededand directedAssist with the coordination and scheduling of maintenance activitiesCommunication and Relationship CoordinationCoordinate JLL staff / vendors entry into the space through visitor logs,and client ID access requestsClerical support for various communications of building information/mattersAttend building events to retrieve information for possible future useSchedule and organize vendors for onsite maintenance of devicesProvide general overall facility management services including continuousmonitoring of office/facilityAct as an interface with client, visitors and guestsEnsure appropriate follow up with customersProvide direction/information to vendors, facilities staff and serviceproviders as required to ensure excellent coordination/execution of workwithin client environment with minimal disruptionAssist FM to maintain JLL / site / account documentationComplete monthly EHS walkthrough for safety compliance Update policy documents as neededSupport site as required with emergency response events in coordination withEHS and Pfizer managerCoordinate and aid with security system upgrades Assist with budgetary requests, analysis and reportingAssist with researching, analyzing and reporting budget variancesAny and all other duties and tasks assigned or requested by client.QualificationsAssociate Degree in and engineering discipline or equivalentwork experience3+ years of administrative dutiesSuperior customer service relations, skills, orientation, and presentationAbility to maintain professionalism always under stressful situationsAbility to plan and manage work under time constraintsAbility to multitask and work without direct supervisionAdaptability of programs and software utilizationProficient in MS Office, and possess strong written, verbal and people skillsStrong organizational skills, document management, and collaborative styleKnowledge of data analyticsInvolvement with system migrations/integrationsJones Lang LaSalle (JLL), together with its subsidiaries andaffiliates, is a leading global provider of real estate and investmentmanagement services.
