Responsibilities

The American Heart Association has an excellent opportunity for a Grants and Revenue Administration Manager within our Mission Advancement department! This position can be remote but must live near a major airport.

In this position, you will be responsible for ensuring AHA excellence in preparation, implementation, monitoring, management and reporting of restricted gifts, through management of operational processes, applications, and systems critical to support grants administration and the fundraising operations of the Mission Advancement department. Responsible for coaching staff members to their highest potential and productivity, provides day-to-day supervision, performance evaluation, goal-setting and other managerial duties for the position's assigned team. Includes responsibility for the effective, accurate and efficient processing of gift acknowledgements, including grant budget report templates and outsourced services; development and management of core support services including centralized documentation filing system, support request ticket management, and daily oversight of grants administration management system content quality. Manage inventory of naming opportunities and funding opportunities, including standard budgets. Compile, analyze, and create presentation-ready internal and external reports, in numbers and narrative, with appropriate formatting in excel, word, or ppt applications

Essential Job Duties:

  • Oversees documentation audits to ensure complete and accurate donation records and other documentation is aligned with fundraising results and grant compliance. Develop, manage, and oversee maintenance of centralized donor record and revenue documentation filing system.

  • Oversee and/or produce the effective, accurate and efficient processing of gift acknowledgements, including major donor acknowledgements, year-end summary development, and development and refreshing of grant report templates. Oversee outsourced services for acknowledgements and other donor materials processing.

  • Compile, analyze, and create presentation-ready internal and external reports, with numbers and narrative, with appropriate formatting using excel, word, or ppt applications

  • Development and management of core support services including support request ticket management, and daily oversight of content quality in grants administration management and other assigned systems. Help develop and manage inventory of naming opportunities and funding opportunities leveraged in restricted proposals, including standard budgets.

  • Coaches, mentors and manages assigned grants and operations staff members to successfully account for and report on restricted, unrestricted, and deferred gifts. Encourages and guides team members’ development of grants and operations core service role as well as building interpersonal relationships both internally and externally, demonstrating the ability to navigate and resolve arising issues. Ensures accountability and quality, fulfillment and reporting accuracy, timeliness and professionalism of the team. Builds a culture of collaboration, project leadership and customer service.

  • Manages other special projects as assigned

Qualifications

  • Five(5) years of experience in process and procedure development and implementation

  • Five (5) years of experience with budget reporting, compilation, analysis, forecasting and reports development, including progress to goal, fundraising portfolio and trend reporting

  • Three (3) years of experience in grant processing, management, and/or writing

  • Three (3) years of experience supervising and developing staff

  • Intermediate level of skill in database navigation, report/export generation, and use of dashboards

  • Three (3) years of experience in records management

  • Two (2) years of experience leading collaborative teams

Preferred Qualifications:

  • Two (2) years of experience supervising a remote workforce

  • Two (2) years of experience using donor relationship management software, such as Salesforce, Blackbaud or Dynamics

  • Advanced degree in evaluation, finance, project management or other related experience and training.
