We pride ourselveson a small, family-feel company.JOB SUMMARYThe Accounting Clerk/Contracts Administrator is responsible for assistingwith both clerical and administrative tasks. In general, the AccountingClerk/Contracts Administrator takes care of basic office tasks that involvereporting, bookkeeping, research, as well as the resolution ofdiscrepancies related to any of the tasks he/she performs.Essential FunctionsProject Setup: Responsible for the review of contracts including indemnificationprovisions, insurance requirements and other terms and conditions. Prepare and submit certificates of insurance. Set-up of new projects in accounting system: loading contract revenueand allocating project cost appropriately per cost code Updating of project cost/revenue in accounting system for projectchange orders Verify project's tax exempt status and obtains appropriate tax exemptcertificate Upon contract approval and execution, prepares contract and additionalpaperwork requirements to be returned to the customerProject Closeout Documentation: Assists in the creation and submission of Operation and MaintenanceManuals and Warranties based on customer requirements and the applicableproduct(s) on the project. Delivers the appropriate closing information to the customer in a timelymanner At project closeout, document the appropriate owner contact for futureservice and maintenance opportunities.Subcontractor Documentation: Maintain necessary documentation for subcontractors that we do businesswith, including executed Subcontract agreements and Work Orders as well ascurrent certificates of insurance.and#8195;Other Duties and Responsibilities: Assists in creating, distributing and maintaining monthly reports Other project duties as assigned Monthly project closeout in accounting system Maintain and keep current city/county/municipal sales andcontractors licenses Assist in monthly customer billings. Assist in other accounting functions as assigned.QUALIFICATIONSTo perform this job successfully, an individual must be able to perform eachessential duty satisfactorily. Ability to work on multiple projects/tasks at once and meet deadlinesin a timely manner Strong computer skills including all Microsoft Office applications Experience with AIA contract billings and/or Sage 300 is a plus Excellent organizational skills are essential for this position Strong written and verbal communication skills Dependable, energetic, and self-motivated Thrive in a team-oriented, professional work environment Applicants with project administration and/or job costing experiencein the construction industry will be given preferenceEducation High School Diploma Some college preferredWork Experience 2-3 years accounting experience preferred
