Tri-Lakes Chamber Of Commerce Office Manager/Director Of Membership in Monument, Colorado

The Office Manager/Director of Membership position reports directly to thePresident and CEO. The successful candidate is responsible for organizing andcoordinating office operations and procedures to ensure organizationaleffectiveness and efficiency. In addition, they will be responsible forbusiness development and member retention, in conjunction with thePresident. This position facilitates our Ambassador Club with the assistanceof our board members. Lastly, they will help with events as needed that willrequire working some after hours and weekends.RESPONSIBILITIES1. Maintain office services-Maintain office hours-Provide superior customer service-Design and implement office policies-Establish and organize office operations and procedures-Supervise community service personnel-Accounts Payable/Receivable-Update organizational memberships-Plan and implement office systems, layout and equipment procurement-Maintain and replenish inventory-Anticipate needed supplies2. Maintain office records-Learn Chamber specific software-Maintain filing systems-Define procedures for record retention-Ensure protection and security of files and records-Ensure effective transfer of files and records-Transfer and dispose of records according to retention schedules and policies-Database updates/changes3. Maintain and develop new relationships (Membership)-Maintain contact with members for their servicing needs and conduct surveys-Create, update, and distribute information to current members as well asprospective members-Onboard new members, send out invoices, collect dues-Help maintain membership database-Develop and maintain community relations-Work Chamber and appropriate community events-Support the sales of memberships, event sponsorships, and participationin chamber events-Help troubleshoot and review member complaints-Educate members about valuable chamber products, services and supportavailable-Support member retention-Keep informed on community issues in the Tri-Lakes area4. Financial-Invoicing, collections, accounts payable on Quickbooks-Updating QuickBooks as needed-Monthly board financial reporting, event financial reporting-Budget advice/suggestions to President5. Events - Assist Event Planner as needed-Soliciting sponsors and attendees-Fundraising-Assist with set-up and tear down of events-Work on the 4th of July, assisting with Chamber events that day6. Perform other related duties and run errands as required. Job duties aresubject to change as we grow.KNOWLEDGE, SKILLS AND ABILITIES --Knowledge of office management-Ability to maintain a high level of accuracy in preparing and enteringinformation-Business Development experience working closely with prospects-Excellent customer service experience, working closely with clients and thecommunity-Very Proficient at QuickBooks, 3 years minimum experienceSkills-Excellent interpersonal skills-Analytical and problem-solving skills-Decision making skills-Effective verbal and listening skills-Detail oriented, with a high level of accuracy-Very effective organizational skills-Effective written communication skills-3 years' experience working with the Microsoft Office Suite, especiallyOutlook and Excel-Ability to learn proprietary software-Stress management skills-Time management and multi-tasking skills A MUST-The ability to close a salePersonal Attributes-Strict confidentiality is required in performing their dutiesThe following personal attributes are also must haves:-Be honest and trustworthy-Be respectful-Possess cultural awareness and sensitivity-Be flexible in schedule when needed-Demonstrate sound work ethics-Carry a willingness and desire to serve the Tri-Lakes CommunityWORKING CONDITIONSPhysical Demands
